Create Activity

Business Purpose

Create Activity is used to create a concrete activity application after the relevant budget has been approved. For C1, C2a, and C2b activities, users select an approved and budgeted activity, complete the five-step wizard, and submit the activity for approval.

Standard Steps

  1. Open Customer facing Activity Management.
  2. Select Application Form (New Activities).
  3. Click New and choose the activity category, such as C1/C2a/C2b.
  4. Complete Basic Information.
  5. Complete Activity Info.
  6. Add Meeting Agenda records.
  7. Complete Market Expense and confirm requested amount.
  8. Add supplier information where required.
  9. Save as draft or submit for approval.

1 Basic Information Select year, entity, department, activity category, budget planning status, and approved budgeted activity.
2 Activity Info Confirm activity name, dates, product, market, organizer, sponsorship type, invitation file, objective, and budget owner.
3 Meeting Agenda Add one or more meetings with title, date, location, and description.
4 Market Expense Review budget lines and enter requested amount within the budget cap.
5 Supplier Add service provider, contract amount, and attachments where applicable.

Permission Rules

Only users with activity creation permission can create new records. Draft records can be edited by the creator. Returned records can be edited when the logged-in user is the creator. Submitted and approved records should be restricted according to workflow status.

Validation Checklist

  • Required fields across all wizard steps are completed.
  • Activity dates fall within the selected budget period.
  • Meeting dates fall within the activity start and end dates.
  • Requested amount does not exceed the budget cap.
  • Invitation file and required supporting attachments are uploaded.
